A task pane add-in in Microsoft Excel, as shown in the example below, is a custom panel that opens on the right-hand side of your spreadsheet. This task pane is designed to interact directly with your spreadsheet data. Task Pane Example With our task pane, you can interact with and manage event data, including attendees, check-ins, ticket validation, and report generation. To install the add-in, visit the Microsoft Appsource page. Alternatively, from the Add-ins menu in Excel search for Ticketing.events. Once installed, the Ticketing.events add-in will be available from the ribbon. Below are the functions that our add-in supports. Managing Attendees Importing Registered Attendees You can import attendees who have registered for your event directly from your account and into a Microsoft Excel. From our add-in’s navigation menu, choose the Manage Attendees option. When the add-in opens, choose Import Attendees. When the next page is displayed, choose the worksheet where the attendees’ data should be saved. After that, choose your event, then the Import Attendees action. If you want attendees to automatically be imported at regular intervals, enable the Auto-import feature. Note: for this feature to work, the task pane must remain open. To change the import frequency, click the icon at the top right of the task pane, then select the Settings option. Creating Attendees You can create attendees on Ticketing.events directly from your Microsoft Excel, and have tickets emailed to them. From our add-in’s navigation menu, choose the Manage Attendees option. When the add-in opens, choose Create Attendees. When the next page is displayed, choose the worksheet where you are creating the attendees from, then select an event. After that, select the Import Template option. Choose a template, then use it to enter attendees’ data that aligns with it. Thereafter, click on the Create Attendees button. On the next page, select the event details and the ticket quantities to issue. Incrementing Attendee Tickets For existing attendees in your Ticketing.events account, you can increment their tickets by issuing new ones. From our add-in’s navigation menu, choose the Manage Attendees option. When the add-in opens, choose Import Attendees. When the next page is displayed, choose the worksheet where the attendees’ data should be saved. This worksheet should contain attendee data from existing attendees. This can either be First Name, Last Name, Email, or Full Name, Email. Click the rows to select the attendees who should get their tickets incremented, then choose the Add Tickets To Selected Attendees option. After that, click on the Add Tickets button. On the next page, fill out the form with the event and ticket details. Updating Attendees This feature only updates an attendee’s profile information, such as name, email, etc, and other custom fields. An attendee’s tickets cannot be updated from this feature. To update attendee profiles, select the Update Attendees action. After that, click on the Import Profiles to download the profiles that can be updated. Make the desired changes to the profiles, then click on the Update Profiles button. Deleting Attendees To delete attendees, select a column with the email addresses, then select the Delete Attendees action in the task pane, and then click on the Delete Attendees button. Adding To-do Tasks You can add to-do tasks related to the attendees, then manage them with our Google Chrome or Microsoft Edge extensions or from your Ticketing.events account on the web and smartphone apps. From the task pane, choose the Add To-do Tasks option. In the chosen worksheet, select cells with the attendees’ email addresses. After that, click on the Add a Task button. The task pane will then open a new page with a form to fill out relevant to the tasks to be done. The tasks will be created for those selected attendees. Managing Check-ins Importing Checked-in Attendees You can import attendees who have had their tickets validated. From our add-in’s navigation menu, choose the Manage Check-ins option. With this add-in method, tickets can be validated by scanning QR Codes, NFC Tags, or any other barcode, using webcams, Bluetooth & USB scanners, and our iOS and Android smartphone apps. The tickets being validated from the add-in can be from Ticketing.events or any other platform. Validating Tickets from Ticketing.events The first step is to import the ticket details from your account. To do so, from the add-in menu, go to Manage Check-ins. Click on the Validate Tickets option. From the new page, choose the worksheet the add-in will use to save the ticket details to. After that, choose the event. Select Validate Tickets from the Actions menu, then click on the Import Tickets button. The ticket details will then get saved to your worksheet. You can make changes to it if necessary. After that, click on the Continue button. Refer to the scanning documentation below on how to proceed from there on. Validating Tickets from Other Platforms If the tickets were issued elsewhere, you can still scan and validate them from the add-in as long as there’s a column that uniquely identifies a ticket and is bound to a QR Code, NFC tag, or other barcode formats. To validate such tickets, from the add-in menu, go to Manage Check-ins. Click on the Validate Tickets option. From the new page, choose the worksheet the add-in will use to find the ticket details. After that, click on the Continue button. Refer to the scanning documentation below on how to proceed from there on. After the scanning session is complete, you can sync the validated tickets in your spreadsheet with the tickets in your Ticketing.events account. To do so, once the scanning session is complete, use the Post-scan Action feature described below to copy the scanned data to a different sheet. To register scans, from the add-in menu, go to Manage Check-ins, then choose the Register Scans option. Scanning Barcodes, QR Codes, and NFC Tags First, install our Microsoft Excel Add-in if you haven't done so already. The scanning functionality provided with our add-in is for validating tickets or registering the scans directly from a spreadsheet. For the QR codes and other 1D/2D barcodes, you can scan them using your device’s webcam, Bluetooth, or USB scanners (running in HID Keyboard Wedge mode), or our iOS and Android smartphone apps. For the NFC tags, you will need to use our smartphone apps. How to scan Refer to the documentation above on how to validate tickets or register scans. After clicking the Continue button, you will be prompted to confirm if the tickets are from Ticketing.events, or a different platform. You will then be prompted to choose how you want to scan. If you’re using the device’s webcam, check what camera has been selected, then click on the Start Scanning button. Follow the prompts to allow the task pane to use your camera, then proceed to scan 1D barcodes and other 2D barcodes such as QR Codes, etc. If you’re using a Bluetooth/USB scanner, ensure that it’s set up to send data to the device as if it were entered from a keyboard. After that, position your cursor under the Bluetooth/USB Scanning field, then proceed to scan barcodes/QR codes. If you’re using our smartphone app, you first need to configure it to discover your spreadsheet and communicate with it. After filling out the form, you will be presented with a configuration QR code to scan or a URL to visit. To scan this configuration QR code, log in to the smartphone app, choose an event, then, on the new page, scroll to the Spreadsheet Add-in section. Tap on the Send Scans to Excel or Google Sheets option. After that, under the Scan Section, tap on the QR Code button, then scan the QR code displayed in the task pane. With the URL option, simply share it with users who already have our smartphone app installed. Once the configuration is complete, proceed to scan barcodes, QR codes, or NFC tags. For the task pane to receive scans from the smartphone, ensure that it remains open. Scanning Options & Actions Under the Scanning Options in the task pane, choose the worksheet to use. Under Scanning Actions, select an option with the desired behavior. Insert Scanned Data – If you want the scanned data to be inserted into a specific column in the spreadsheet. Select the column in the spreadsheet where the scanned data should go, or specify the column to be used by entering the column letter in the task pane. Optionally, choose a color for the cell background. Insert & Replace – If you want the scanned data to be inserted into a specific column in the spreadsheet, along with other information (such as date, time, etc) into other columns. Learn more. Find & Mark Found Data – If you want the spreadsheet to search for the scanned data, and the matching row to be highlighted with a background color. Select the column in the spreadsheet where the scanned data should be found, or specify the column to be used by entering the column letter in the task pane. Find, Mark & Replace – If you want the spreadsheet to search for the scanned data and the matching row highlighted with a background color. In addition to the search, other columns that you specify can get altered with data that you specify, such as date, time, status, etc. Learn more. To do so, under the Post-scan Actions, click on the Copy Scanned Rows button. On the page that follows, choose what should happen with the scanned data. Running Reports You can import various reports, such as ticket sales, revenues, attendee registrations, attendance and non-attendance, membership, promotions, etc, directly to a spreadsheet. With the ability to continuously import data automatically, you can leverage the visualization capabilities of Power BI and Looker Studio seamlessly. Importing a Report From our add-in’s navigation menu, choose the Reports option, then select a report you’re interested in. On the page that follows, select a worksheet where the reports should go, then choose an event it belongs to. After that, choose the Import Reports option and click its button. You can enable the Auto-import feature if desired. Note: for this feature to work, the task pane must remain open. Analyzing Reports with AI Once your report has been downloaded to a worksheet, click on the Analyze with AI button to get the data in the report analyzed by AI platforms. You can use our ChatGPT, Grok AI, or Google Gemini AI integrations for the analysis. These data can include date, time, or other arbitrary data that you define. For example, you may want to update one column with a status, and another column with the date or time. If you’re using our smartphone apps for scanning, you can also set the add-on to return data to display to the person scanning the QR Codes or NFC tags. For example, you can scan an attendee's QR Code, and if found in the spreadsheet, the attendee's name and ticket type are returned. The membership can be for any activity where regular participation is essential. Each membership can contain multiple membership types within it, each with its own rewards characteristics such as expiration, prices, benefits, etc. People who join the membership receive a QR Code digital pass that they can save on their Apple and Google wallets, or NFC Tag wearables. These passes can then be scanned and validate using our smartphone apps for the members to claim their rewards. Rewards can include access to an event, exclusive tickets, discounts, and any other bespoke reward. Creating Memberships From your account go to the Memberships page, then click on the Actions dropdown menu and select Create a New Membership option. On the page that follows, enter the details about the membership. Under the Event Details, select an event to associate the membership with. This is optional. If you select one, however, the membership will inherit some attributes of the event and also be displayed on the event pages. Under the Payment Settings, indicate if the membership is free or paid-for. If it's paid-for, choose the payment settings that will be used to charge the members, and how the fees will be paid. Under the Membership Settings, enter a title that both you and potential members will recognize. Enter a brief description that will also be show to potential members. Creating Membership Types Once you have created the membership, you can proceed to add different membership types and their unique characteristics. You can repeat these steps below to add additional membership types. From the Membership table, find the membership then go to its Actions > Add Benefits option. On the new page, under Plan Settings, enter a name and a description of the membership type. If you're charging for the membership, enter a price or enter 0 for free-of-charge membership. Proceed to enter how long the membership is valid for or leave the fields blank. If a period is defined, upon expiration, a member would need to renew the membership. Membership Rewards & Benefits You can offer members special discounts for their tickets, grant them access to exclusive tickets, and other custom rewards. Members can claim their rewards either by having their membership passes scanned or by using their membership code on the ticket sales portal. Under the Benefits Settings, you will find options to enter all or either of the rewards. If you're offering ticket discounts, choose an existing coupon code from the dropdown list. Members do not need to know and will not know what the coupon code is. If you are offering tickets, choose the tickets that will automatically be assigned to members when they present their membership passes. Alternatively, you can create a members-only ticket type that they can book for themselves and limit the number of tickets they can book. For any other types of benefits, e.g free drinks, free parking, etc, enter them in the Other Benefits section. Adding Members You can add bother attendees as non-attendees as members. You can add either groups manually of they can subscribe by themselves. Creating New Members To create new members, use the subscription links provided. From the Membership table, find the one you want, then go to its Actions > Subscription Links options. The links provided support payments and can be used in context where they're applicable. If your membership is also associated with an event, those booking tickets will find links to subscribe to a membership. You can also create members manually. To do so, from the Membership table go a membership's Action > View Members option. On the next page, go to Actions > Add a Member then fill out the form. Adding Existing Attendees as Members From the Attendees table, select the attendees you would like to add then click on the Add as Members button at the top of the table. On the next page, select a membership plan, review the selected attendees then submit the form. Adding Existing Members to a Membership Type To add a member to a Membership Type, from the Membership table, go to Actions > View Benefits. On the next page, from the Membership Types & Benefits table, find the membership type then go to Action > Add a Member option. Claiming Membership Rewards and Validating Membership Passes Ticket Discounts If you are offering ticket discounts, members can claim this from the ticket sales portal. A field named Membership Code allows one to enter the code from their membership pass. The membership code can by typed in the text box or its QR code scanned either from a camera or a screenshot upload. If the code is valid, the associated discount will be applied automatically to the shopping cart. Exclusive Tickets If you're offering exclusive tickets, there are two ways they can be claimed. When setting up the membership type and have associated a ticket with the benefit, scanning a member's QR code pass will make it validate just like a normal ticket, so you can scan them just as you would with a regular ticket. You can limit access to tickets that can only be booked by members. In such a case, a member would need to enter their membership code or scan their membership QR code pass (as described in the Tickets Discount section above). They would then receive a QR code ticket which can be validated the regular way. The membership pass can also be validated as a ticket. Event Privileges and Local Businesses Deals & Offers If a ticket is associated with an event privilege or a business's offer, scanning the membership pass associated with the ticket will grant the member access to such perks. Other Benefits For any other bespoke benefit that you have setup, you can scan a members QR code from a special page on the smartphone app. On the app, swipe left select the Membership option on the menu. NFC Wearables Just like with the QR Code membership passes, you can scan NFC tags as well. Members have the option to save their passes onto their own NFC tags from their confirmation emails. Alternatively, from the smartphone app, you can program your own NFC tags. To do so, swipe left then select the Membership option. From the Membership page, scan the member's QR code, then scroll to the NFC section. Tap on the Save to NFC button. Scheduling push notifications Ticketing.events platform can be set up to send push notifications to those who opted to receive them. The notifications are set up on a schedule, up to five days in advance, and can be used for reminders, important alerts, or marketing. To set up the push notifications, go to the Attendees page. After that, go to Actions > Push Notifications. On the new page, choose an event with attendees you want to contact. Click on the Next button, then compose your message. After that, choose the day and time and schedule, up to five days in advance; then enter a title to identify the notification. Making changes to the schedule To make changes, scroll down to the bottom. On the table, go to Actions > Edit. Other options include reviewing the SMS message or deleting the entire schedule. Viewing the schedule status To view the schedule status, scroll to the Scheduled Push Notifications table. You can organize the to-do checklists into categories such as attendees, venues, promotion, agenda, etc. You can also create to-do tasks when specific milestones are reached, for example, when the ticket sales, revenues earned, attendees checked in, etc, meet a defined threshold. Creating and managing the to-do lists can be done from the web app, the smartphone app, or our browser extensions for Google Chrome and Microsoft Edge. Web app to-do tasks Setting up checklist tasks on the web app From the navigation menu, go to the To-do Tasks option. On the new page, click on the Add a New Task option under the Actions menu. On the new page, fill out the form by giving it a task name, some description, category, due date & time, priority, and assign an owner to it. You can assign the task to yourself, or other web and smartphone app users. Alternatively, leaving the owner assignment field blank will make the task available to all users. With the Attendees category, you can choose specific attendees to associate with the to-do list. Viewing tasks on the web app From the To-do Tasks page, use the filters at the top of the page to narrow down to specific tasks from specific events. The table on the page will update to show the corresponding tasks based on the filters. Under the Actions menu of a task, there are options to edit, view, delete, or mark the task as complete. If an attendee category is used for the task, when viewing the task, you can view their profiles or allocate Smartphone app to-do tasks Setting up checklist tasks on the smartphone app Once logged in to the smartphone app, choose an event. Under the Tasks section, tap on the To-do Tasks menu. On the new page, tap on the (+) button. Fill out the form by giving it a task name, some description, category, due date & time, priority, and assign an owner to it. You can assign the task to yourself, or other web and smartphone app users. Alternatively, leaving the owner assignment field blank will make the task available to all users. If an attendee category is selected, you can search for the attendee and select them under the Attendee dropdown field. Viewing tasks on the smartphone app On the Event's Validation Options page, tap on the To-do Tasks menu. If new tasks are available, they will be displayed under the Pending tab. Completed tasks are displayed under the Completed tab. To refresh the lists, tap and drag the top of the page. Refreshing the Validation Options page will notify you of the available pending tasks. To mark the tasks as complete, you can expand the lists, choose the relevant option, or tap and hold the list then accept the prompts shown. Browser Extensions to-do tasks With our Google Chrome or Microsoft Edge extension, you can use the context of a web page that you are viewing to create to-do checklists. Viewing tasks on the browser extensions Open the side panel or sidebar by right-clicking and choosing our extension or from your pinned extensions bar. Once opened, go to the To-do Tasks menu. Click on the dropdown icon to expand a list’s contents. To refresh the to-do lists, pull and drag the page down using your mouse. Notifications are available with our browser extensions and are triggered whenever new tasks are added or existing ones are due. These notifications are issued whether the side panel or sidebar is opened or closed. Milestone tasks With milestone tasks, to-do lists can automatically be created whenever a specific threshold related to the milestone is met. Milestones can be created for: ticket sales, e.g for every 10th sale ticket revenues, e.g for every $500 earned check-ins, e.g for every 100th attendee fundraising, e.g for every $1000 donated venue presence, e.g for every venue entrance or exit To set the Milestone tasks up, from the To-do Tasks table, go to Options > Milestone To-dos. On the new page, choose an event, then choose the Milestone Type. After that, for each of the tickets you are interested in, check the Enable Milestone checkbox, then type and enter a custom threshold value or choose one from the available options. After that, assign the milestone to your users. Depending on the type of milestone created, the automatically created to-do task list will include the threshold conditions that triggered it, and relevant details such as the ticket name, event, and attendee's name, etc. Calendar To-do Tasks You can import your to-dos to a calendar application such as Google Calendar or Outlook. From the To-do Tasks table, go to Options > Calendar Integration. Copy the generated link and use it to import the tasks to the calendar application. The calendar application continuously checks for new updates. You can also set it to notify you when changes occur. Custom To-do Statuses You can add custom statuses then use them to filter tasks. From the To-do Tasks table, go to Options > Settings. The donated funds get paid to your account directly from the donor using one of the supported payment processors such as Stripe, Square, PayPal, Paystack, etc. Donors can be attendees or non-attendees. Should you desire to, you can restrict who the donations are open to. Setting up a fundraiser Go to the Fundraise page from the navigation menu to set up a fundraiser. From the Actions menu, go to Create A New Fundraiser. Choose an event to associate the fundraiser with on the Fundraising Setup page. Depending on your settings, donors do not need to be attendees. Under the Payment Settings section, choose a payment processor from the ones you have already integrated with. The payment processor used for an event can be different from the one used for the fundraiser. You can indicate if you want to absorb or pass on the transaction fees associated with your payment processor. Under the Donation Settings, enter a title for the cause that you're supporting, choose the donation limits, and enter donation amount suggestions. If platform fees apply to your donation tier, our platform fees will be incurred, and you can choose to pass them on or absorb them. Ways to receive donations Online Donations You can receive donations from online transactions. A dedicated page to achieve this is made available once you have completed your fundraiser setup. You can promote that page using QR codes. Alternatively, you can simply promote your event instead. The donation page will be linked to various pages, prompting attendees to donate. In-person Donations In-person donation works with card readers, where donors can tap their cards or phones to make the donations. These types of payments are currently only supported using Stripe or Square. Simply tap on the tag after following the prompt to validate the tickets. NFC For Passes Grant access to exclusive event privileges, perks, business discounts and offers, and other experiences. To use NFC as passes, you will need to supply your own NFC tags and register them upon the validation of a ticket using our smartphone apps. The ticket being validated can be in the form of a QR code, or even a NFC tag owned by the attendee. After scanning either form of the ticket, on the confirmation page, tap on the Register NFC Tag button, then tap on your NFC tag. The data being registered, ideally would be the unique ID of the NFC tag itself. If necessary, you can change what the app reads from the NFC tags, by updating your choice on the smartphone's settings page. Once the NFC tag has been registered and associated with an attendee, from the main page of the smartphone app, go to the NFC section then tap on the View Attendee Profile & Access Details menu. The app will then retrieve the attendee's details and display them accordingly. The tags being registered can be re-used for future events and associated with different attendees if required. NFC For Networking You can make it easy for attendees to network and share their contact details by setting up NFC vCards which can then be used on badges. Ticketing.events app makes this process easy! Using our smartphone app, and your own NFC tags, you can create the NFC vCards after validating an attendee's ticket. As with the NFC passes, the tickets being validated can be in the form of the usual QR codes or NFC tags owned by the attendees. After validating a ticket, on the confirmation page, tap on the NFC vCard button then tap on a NFC tag. Our smartphone app will then use the attendee's contact details, from their ticket registration, and generate a link for the vCard to be saved on the NFC tag. Attendees can then tap on these NFC tags to download the vCard and save contact details onto their devices. Setting Up POS Transactions Ticket Sales Transactions The process of setting up tickets for POS transactions is the same as that for online transactions. Both POS and online tickets can be run at the same time. With POS tickets, you may want to make use of the Private Ticket field so that these tickets have custom pricing that is not available publicly with the online option. The POS tickets will be served from a different page, from which your team members, who are logged in to their ticketing.events account can use. To get the link to the POS tickets, from the Events page, find the desired event, then go to its Actions menu. Under this menu, go to the Ticket Links option. Donation Transactions For donations, from the Fundraise page, go to Actions > Manage Existing Fundraisers. On the subsequent page, under the Actions menu on the table, go to Donation Page Links. Use the In-person Donations URL to execute transactions. Membership Subscription Transactions From the Membership Passes page, under the table, go to Actions > Subscription Links. Use the In-person Membership URL to execute transactions. Using Stripe For In-person Payments First, check if Stripe supports in-person payments in your location. Secondly, acquire their Smart Readers, and ensure that they support JavaScript integration, e.g Stripe Reader S700 and BBPOS WisePOS E types. Consult Stripe's documentation for the latest smart reader support updates. Once you have acquired the smart reader, you will need to register it. This can be done directly from Stripe's dashboard. Alternatively, you can also register the smart reader when using our POS ticket sales link. In your ticketing.events account, set up Stripe as the payment processor, and make it the default for processing transactions. Processing Stripe Transactions From the in-person URLs, follow the wizard steps until you are prompted to choose a smart reader that you have already registered. If none has been registered, or wish to add a new one, click on the Register Readers button. Whenever you want to refresh the list of available smart readers, click on the Reload Readers button. Once you have selected a reader, under the Available Smart Readers dropdown, ensure that it's available and a connection has been made. Click on the Complete button then present the smart reader to the customer for it to capture the payment. If the transaction is successful, the page will redirect to a confirmation page. For example, for a ticket sale, the customer can then check their inbox and spam folder for the e-tickets. Alternatively, they can scan the QR code shown on the confirmation page to download their tickets. Using Square For In-person Payments Install the latest version of the Square Point of Sale application from the Google Play Store or the Apple App Store. Set up the Square POS as required. In your ticketing.events account, set up Square as the default payment processor. Processing Square Transactions On the same device with the Square POS app, open the in-person POS URL from a browser. Follow the wizard steps. The Square POS app will then open and prompt you to capture the payment from the customer. Once that's complete, you will be redirected to a confirmation page. For example, for a ticket sale, if the transaction is successful, the customer can then check their inbox and spam folder for the e-tickets. Note - this integration can neither read nor reply to chat messages. Setting Up Google Chat Notification In your Google Chat, account: Open the Space to which you want to add a notification. Next to the Space title, click the expand more arrow, and then click Apps & integrations. Click add Add webhooks. In the Name field, enter Ticketing.events. In the Avatar URL field, enter https://ticketing.events/images/meta/meta-logo.png. Click Save. Copy the webhook URL, by clicking the More button. Back to your Ticketing.events account, go to the Integrations page, i.e., Integrations > Google Chat. Click on the Settings button. On the sheet on the new page, enter a title, e.g. the name of the chat space, then paste the URL that you copied. After that, click on the Submit button to save the changes. You can repeat the same steps above to set up more notifications for other spaces. Triggering Notifications Notification Types From the Google Chat Settings page, there are four types of notifications that can be set up. Sales Notifications With the Sales notifications, chat messages will be posted whenever a ticket is sold or when a regular milestone is reached, for example, on every 50 tickets sold. To set it up, first, choose the event from the Events dropdown, then choose Sales under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. For every ticket sale, you can type and enter “1”. Check the Enable Notification checkbox, then choose the Google Chat space that should receive the chat notification messages. Revenue Notifications With the Revenue notifications, chat messages will be posted whenever a ticket’s revenue earned reaches a regular amount, for example, on every $200 earned. On that page, select an event then choose the report type. After that, click on the Generate button. Generating Visualization Reports Visualization reports are available for ticket sales, revenues earned, and claimed and redeemed offers. Using Power BI In the pop-up that then appears, click on the Copy For Microsoft button. Note – the copied URL should not be shared publicly. In your Power BI application, go to Get Data > Web. Next, paste the copied URL in the dialog prompt then click on the OK button. If a dialog with the data preview is shown, click on the Load button. Once Power BI has imported your data, you can then generate the visualization reports that you want. The URL that you copied will always generate current data. To refresh the imported data, in Power BI, in the Power Query Editor, click on the Refresh Preview. Using Looker Studio In the pop-up that then appears, click on the Copy For Google button. Open a new Google Sheets spreadsheet, then give it a name. After that, select cell A1 then go to the fx section, then paste the URL string that you copied then press ENTER on your keyboard. After a few seconds, your data will be shown on the spreadsheet. Once that’s done, log in to your Looker Studio account. Click on the Blank Report template. From the “Add data to report” prompt, select Google Sheets. Follow authentication steps if prompted for them. You will then be presented with a list of spreadsheets. Select the one that you imported the data to. Once Looker Studio has imported your data, you can then generate the visualization reports that you want. The URL that you copied will always generate current data. Google Sheets will continue refreshing the data on its own. Also, note, that Google Sheets does not allow imported data to be manually edited in the sheets. Importing Data You can import and view attendees' data directly on Google Sheets or Excel. For example, when tickets get booked, their tickets get scanned, or offers are redeemed. Various types of data are available. For example, they include purchases, check-ins, non-attendance, etc. Importing attendee data on Google Sheets To use the data feed link with Google Sheets, open a new Google Sheets spreadsheet, then give it a name. After that, go to the fx section, then paste the URL string that you copied then press ENTER on your keyboard. After a few seconds, your data will be shown on the spreadsheet. Google Sheets will automatically refresh the data each time it detects a change. Importing attendee data on Excel In your Excel file, go to the Data tab then select From Web. After that, paste the URL you copied for Excel, click OK, and follow any prompts shown. In the dialog that appears, click on the Load button. Your data will then get imported into a workbook. Discovering Offers You can find offers from the Deals & Offers > Find Offers page. If an event organizer has set up offers, they will be available for the event and ticket types that they've set them up for. You may also find offers from local businesses if they've set them up for a specific location. From the Find Offers page, use the Options settings to find offers based on events or location. Once you have found an offer that you're interested in, click on the Claim Deal button. Claiming Offers Offers that you claim will be shown from the Deals & Offers > Claimed Offers page. Claimed offers can be those you either discover and claim or accept as an invitation from a local business. Claiming offers from event organizers will make them associated with specific tickets. The same QR code that admits you to the event is the same that avails you of the offer. Under a claimed offer's Action menu, there are options to view more details about the offer or the business, share the offer, delete it, and if applicable, view tickets associated with the offer. Redeeming Offers If an offer is associated with an event, you can redeem it in-store by presenting the eligible ticket for the event. If an offer is directly from a local business, depending on its setup, it can either be redeemed online or in-store. If it is to be redeemed in-store, use the QR code available under the View Redemption Information. This QR code would be the same as the one shared via email. If it is to be redeemed online, click the link and use any promo code shown. For online offers, you can mark them as redeemed once you have redeemed them. Offer Invitations If you opt-in to receive offers from local businesses, they will be available under Deals & Offers > Offer Invitations page. If offers are available on the Offer Invitations page, you can choose to either accept or reject them. If accepted, they will be moved to the Claimed Offers page. You can choose to opt in or opt-out at any time. The Merchant QR Code is available from the Deals & Offers > Businesses page. Find the business profile on the table, then go to the Actions > Merchant QR Code menu. Once the QR Code has been scanned, on the smartphone app, under the Available Offers dropdown, choose an event or an offer then tap on the Continue button. Validating The Offer Tap on the Scan Offer QR Code button. The QR Code to be scanned can be an attendee's ticket or a QR Code that they have shared. If the QR Code and the offer associated with it are valid, the app will display the discount amount, attendee's name, opt-in request button, and, optionally, a POS barcode that can be scanned by the POS scanner if necessary. Getting Opt-in Consent Upon validating an offer, you can get the customer's consent to receive online or in-store offers in the future. These types of offers are made available in the attendees' accounts which they can accept and redeem later. Setting up offers creates a mutual benefit for all parties involved. Attendees get discount offers to redeem from businesses they love or would like to engage with for the first time. They simply need to present their tickets for offer validation. Local businesses get to potentially acquire new customers and with the opportunity to generate repeat business. Event organizers get to sell more tickets, increase attendance, and potentially earn from customer referrals based on their relationship with the local business. Setting Up An Offer Local Business Profile The first step is to create a profile for the local business. The profile includes the business’s name, contact details, website, and location addresses that are close to the event's venue. Go to Deals & Offers > Businesses. On the new page, go to Actions > Add A New Business. On the page that follows, enter the business’s details then save the form. Getting An Offer Validated Offers get validated by scanning attendees' tickets or their membership passes using our smartphone apps. The local business would first need to set up the smartphone app to validate offers. This process involves you as an event organizer sharing a QR Code with the local business. The QR Code to be scanned can be found under a business’s profile. Go to Actions > Merchant QR Code. Local Business Account A local business that wishes to see the offer's claims and redemption reports, can create a local business account, then merge your offers with it. Not only would they be able to view the offer that you created for them, but they would also create their own and invite attendees who opted in to receive offers. ======================================== ARTICLE ID: 737 TITLE: Local Businesses' Deals & Offers URL: https://kb.ticketing.events/knowledge-base/local-businesses/ PUBLISHED: 2023-03-31 12:46:16 ---------------------------------------- As a local business, you can work with event organizers to create discount offers for those attending specific events in locations where the business also exists. These types of offers can be redeemed by attendees in-store. Not only do you potentially acquire new customers, but you also benefit by generating repeat business by having attendees opt-in to receive alike offers that can be redeemed online on in-store. To get started, first create a Local Business Account, or log into an existing one. Once logged in, you need to create a business profile, then create its offers. An account can have multiple business profiles and each profile can have multiple offers. Managing Businesses Creating Business Profiles To create offers, you first need to set up a business profile. The profile includes the business's name, contact details, website, and location addresses. Go to Deals & Offers > Businesses. On the new page, go to Actions > Add A New Business. On the page that follows, enter the business's details then save the form. Managing Offers Creating Offers Two types of offers can be created, and they are available from the Offers page. 1. Offers By Event Organizers These types of offers can only be redeemed in-store. They are also created by event organizers for their attendees. You would need to work with an event organizer hosting events in the same location as the business's location. With these types of offers, you potentially get to acquire new customers, and with their opt-in permission, generate repeat business by targeting them with offers that they appreciate. 2. In-house Offers These types of offers can be redeemed either online or in-store. They can be created for those who have opted-in to receive offers or for those seeking deals in their local area. To create in-house offers, from the Deals & Offers > Businesses page, go to a business's profile record. Under its Actions menu, go to Add An Offer. On the page that follows, fill out the form with the desired offer details. Validating Offers Ticketing.events can only validate in-store offers. To validate offers, you need to use our iOS and Android smartphone apps. You will be prompted to scan a QR code to set up the app so that it can validate offers. The QR Code to be scanned can be found under a business's profile. Go to Actions > Merchant QR Code. You can scan attendees' QR code tickets or any other QR codes from Ticketing.events that they present in-store. Valid offers will include the discount amount, the customer's name, an opt-in request, and optionally a POS barcode. If you need to scan a barcode for your POS system, the app will display the required barcode, provided that the details for it were set up on the offer setup page. The opt-in request button enables you to capture the customer's consent to receive future offers. Importing Offers For offers that have been set up by event organizers, you can import copies of them to your own account. To do so, on the smartphone app, swipe left and then go to Merge Offers. From the web account, go to the Deals & Offers > External page. On this page, go to Actions > Import Offers. You will then be presented with a code to enter on the mobile app. Enter this code on the smartphone app then submit the form. Offer Invitations The offer invitations feature enables you to suggest new offers to those who have opted in to receive them. From the Deals & Offers > Invitations page, go to Actions > Create A New Invitation. On the new page, choose the offers that have previous opt-ins, then choose a new offer to be introduced to the attendees. The same tickets used to admit the attendee to the event are also used to authenticate access to the privileges. Setting up event privileges To set up Event Privileges, go to the Events page. On the table, go to Actions > Event Privileges. On the Event Privileges page, click on the Actions > Add Event Privileges button. On the new page, fill in the form according to the guidelines below. Event - choose your event. Grant Access To - describe what the privilege or perk is. This will be displayed when validating tickets. Valid From - indicate when the privilege should begin. Valid To - optionally indicate when the privilege should end. Frequency - enter how many times the privilege should be redeemed. Enter 0 for limitless. Allowed Tickets - choose the ticket names that should have access to the named privilege. To view what privileges have been set up or to make changes, go to the Event Privileges page. There are cases where you may need to do this such as an event that spans a few days. To reset the tickets go to the Events page. On the table, click on the number of tickets sold. On the page that follows, go to the Actions > Reset Tickets option. On the new page, fill out the form. Under the Event Dates, choose the past date and time. After that, choose the tickets that you want to reset. The access can be set based on a number of criteria. For instance, access can be set either for anyone who books a ticket, only for those with specific email addresses or email domains, or for those who have booked tickets from a previous event. To set grant ticket access and set ticket limits, from the Events page, find the event on the table, then go to Actions > Edit Tickets Page. On the spreadsheet section, go to Options > Ticket Access & Limits. Setting up ticket limits for anyone To set the maximum number of tickets anyone can book, find the row with the desired ticket name, then choose Anyone Can Book from the second dropdown menu. In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets. Setting up ticket access and limits for those with specific email domains In some cases, you may wish to allow only those who have a certain email domain to register and book tickets. For example, work domains, school or university domains, etc. To set this access and limitation up, find the row with the desired ticket name, then choose Only Those With The Following Email Domains from the second dropdown menu. In the options field, enter comma-separated domain names, e.g. harvard.edu, nyu.edu. In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets. Setting up ticket access and limits for those with specific email addresses You can also set up limits for those with specific email addresses. For example, you can create a ticket for volunteers. To set this access and limitation up, find the row with the desired ticket name, then choose Only Those With The Following Email Address from the second dropdown menu. In the options field, enter comma-separated email addresses. In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets. Setting up ticket access and limits for those who have tickets from a past event You can grant access to tickets that only those who have a ticket from a past event can book. For example, you could offer a discounted ticket only for those who have been to a past event. To set this access and limitation up, find the row with the desired ticket name, then choose an event from the Those Who Attended A Past Event section from the second dropdown menu. In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets. Setting up ticket access and limits for those who have joined a membership You can grant access to tickets that only those who have joined a membership. For example, you could offer exclusive tickets to members and limit how many each can have. To set this access and limitation up, find the row with the desired ticket name, then choose a membership from the Membership section from the second dropdown menu. In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets. Setting up ticket access using Access Codes You can set up multiple access codes such that without them, tickets cannot be booked. To do so, use the custom fields with Access Code Answer Type. ======================================== ARTICLE ID: 573 TITLE: Webhook Notifications URL: https://kb.ticketing.events/knowledge-base/webhook-notifications/ PUBLISHED: 2021-08-24 12:42:57 ---------------------------------------- Webhook Notification is a simple way that the platform can communicate with another server via HTTP. You would need a URL that can receive HTTP POST requests. The server receiving these requests can then perform other tasks with the data, such as sending emails, notifying other apps, etc. With the webhook notifications, you can receive notifications for tickets sold, revenues earned, check-ins, and movements tracked. Depending on the notification type and frequency, posted data may include attendee details such as first name, last name, email address, and any other custom data. Setting up Webhook Notifications From the Integrations page, go to the Webhook Notifications section. Click on the Settings button. Notification Types From the Settings page, there are four types of notifications that can be set up. Sales Notifications With the Sales notifications, HTTP POST requests will be sent whenever a ticket is sold or when a regular milestone is reached, for example, on every 50 tickets sold. To set it up, first, choose the event from the Events dropdown, then choose Sales under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. For every ticket sale, you can type and enter "1". Check the Enable Notification checkbox, then enter the URL where the POST requests should be sent. Revenue Notifications With the Revenue notifications, HTTP POST requests will be sent whenever a ticket’s revenue earned reaches a regular amount, for example, on every $200 earned. To set it up, first, choose the event from the Events dropdown, then choose Revenue under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. For every ticket revenue earned, you can type and enter "1". Check the Enable Notification checkbox, then enter the URL where the POST requests should be sent. Attendee Check-in Notifications With the Attendee Check-in notifications, HTTP POST requests will be sent whenever an attendee’s ticket is validated (checked-in). You can set it up for each ticket validation, or for a regular milestone, e.g., for every 30 check-ins made. To set it up, first, choose the event from the Events dropdown, then choose Check-ins under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. For every check-in, you can type and enter "1". Check the Enable Notification checkbox, then enter the URL where the POST requests should be sent. Attendee Movement Notifications With the Attendee Movement notifications, HTTP POST requests will be sent whenever an attendee’s ticket is validated for movements. You can set it up for either those exiting a venue or for those returning to it. To set it up, first, choose the event from the Events dropdown, then choose Movement under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the movement direction. Check the Enable Notification checkbox, then enter the URL where the POST requests should be sent. ======================================== ARTICLE ID: 571 TITLE: Push Notifications URL: https://kb.ticketing.events/knowledge-base/push-notifications/ PUBLISHED: 2021-08-24 12:11:02 ---------------------------------------- Push notifications are dismissable browser pop-up messages that appear on desktops or mobile devices regardless of whether one is logged in to an account or has the browser opened. You can receive notifications for ticket sales, revenues earned, or checked-in attendees. These notifications are specific to a user’s browser, therefore each user who is interested in receiving them would need to set up his/her own notification. These push notifications, on desktops, are supported on Chrome, Firefox, Opera, and Edge browsers. On mobile devices, only Android OS supports them at this time. The notifications will only be displayed on the last device that they were enabled on. Setting up Push Notifications From the Integrations page, go to the Push Notifications section. Click on the Enable Notification button, then follow the browser prompts to grant the access permissions. Once that’s done, click on the Settings button. Notification Types From the Settings page, there are three types of notifications that can be set up. Sales Notifications These notifications will be displayed whenever a ticket is sold or when a regular milestone is reached, for example, on every 50 tickets sold. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. Check the Enable Notification checkbox, then choose which devices should receive the notifications. Attendee Check-in Notifications These notifications will be displayed whenever an attendee's ticket is validated (checked-in). You can set it up for each ticket validation, or for a regular milestone, e.g, for every 20 check-ins made. To set it up, first, choose the event from the Events dropdown, then choose to Check-ins under the Notification Type dropdown. After that, choose the ticket you want to receive notifications for, then select the frequency or type and enter your own value. Check the Enable Notification checkbox, then choose which devices should receive the notifications. Mobile Notifications To set up mobile notifications, at the top of the page, click on the Mobile Notifications button. Scan the QR code that will be displayed. On the Attendees page, choose the name of the event from the dropdown menu at the top. Attendee details will then be shown on the table. These details include the names, contact information, such as email addresses and mobile numbers, and the number of tickets purchased. If you have set up custom fields, the option "Show On Attendee Table" set to "yes", then the captured details will also be shown on the table. The details shown on the table can be filtered based on a number of criteria. Imported Attendees When this option is selected, attendees that you manually added will be displayed on the table. Ticket Buyers When this option is selected, details of those who booked their own tickets will be shown on the table. Note - ticket buyers are not necessarily the people who will attend the event in person. Attendees by Ticket Types This option will show the details of the attendees (or ticket buyers) for specific ticket types that you have set up. Searching for attendees You can search for attendees using either their names, email addresses or mobile numbers. Note - anything displayed on the table including custom fields that have been configured to be displayed on the table can be searched. To make a search, use the search field on the table. Exporting attendee details Attendee contact details along with any captured custom fields details can be exported as CSV files. It provides a way for you to connect your account's data and leverage a set of pre-built actions and triggers that enables you to create automated workflows. Finding our connector Our connector is named “Ticketing.events”. During your workflow setup, search for “Ticketing.events” in the search box. Using our connector Ticketing.event's connector enables you to automate the issuance of e-tickets using data outputs from other flows. For example, data output from an Excel Online spreadsheet, Google Sheets, or Microsoft forms can be used to set up new attendees and issue e-tickets. Setting up authentication In order for Microsoft Power Automate to connect to your account, authentication is needed. We use API keys for the authentication. To obtain the key, go to your Profile page. On your Profile page, go to the API tab. If you haven’t generated a key before, click on the Get API Key button. A short string composed of random characters will be generated. Click on the Copy button to copy it and paste it in your Power Automate account when prompted to do so. Data in the trigger includes the attendee and ticket details. Zapier Actions Zapier Action steps can find and/or create items in apps integrated with Zapier.  Ticketing.events supports two actions. One can be used to create an attendee, whilst the other one can be used to allocate tickets. With Zapier Actions, for example, you could easily fill out a Google Sheet with attendee details, and automatically have those attendee details used to create an attendee on Ticketing.events. Each influencer gets his/her unique trackable URL that leads to your event's listing. When this URL is accessed, and tickets are successfully booked, the influencer's record will be updated to reflect the sale. You can then view the number of ticket sales generated by an influencer, and download the transactions history. To set up event affiliates, go to Promote > With Influencers page. On that page, go to Actions then click on the Add an Influencer button. Once the influencer has been added, go to Actions > Copy Tracking Link. On the pop-up that appears, copy the tracking URL, and share it with the corresponding influencer. Viewing an influencer's sales transactions To export the transactions, go to Actions > View Transactions. Sharing an influencer's sales transactions You can share, with the influencer, live sales transaction data. These data will be made available on spreadsheet programs such as Google Sheets and Excel. From the table, go to Actions > Data Feed. In the modal that appears, copy the link for the correct spreadsheet program. Share the copied URL with the influencer and the instructions below. Using Google Sheets To use the data feed link with Google Sheets, open a new Google Sheets spreadsheet, then give it a name. After that, select cell A1 then go to the fx section, then paste the URL string that you copied then press ENTER on your keyboard. After a few seconds, your data will be shown on the spreadsheet. Google Sheets will automatically refresh the data each time it detects a change. Using Excel In your Excel file, go to the Data tab then select From Web. After that, paste the URL you copied for Excel, click OK, and follow any prompts shown. In the dialog that appears, click on the Load button. Your data will then get imported into a workbook. To refresh the imported data, click on the refresh icon on the right-hand side pane. Setting up ticket validation notes To set up the ticket validation notes, go to the Attendees page. On the new page, go to Actions > Add Ticket Validation Notes. On the Notes page, search for the attendee by name or ticket type. If the request is valid, the platform will inform the integrated payment gateway to issue a refund. Payment Gateway Refunds Refunds can be made using the payment gateway's dashboard. Sharing Access You can share access to an account by generating a special URL and QR Code. Users with this QR Code or URL will then be able to log in directly to the account without facing login prompts. Getting paid If you want people to pay for the tickets, you'll need a payment gateway account from one of the many gateways that we support. We currently support PayPal, Stripe, Square, 2checkout, Worldpay, Paymill, CCAvenue, Instamojo, PayUMoney, PayU, Alipay, and AsiaPay(PayDollar, SiamPay, & PesoPay). Inviting attendees Once you've published an event, you can invite people to attend it by importing a CSV list with contact details or sharing your event page on social media, email, etc. When people book tickets, they'll receive an email with a QR code. This QR code is what they'll present on the event day for ticket validation. Desktop App If you use Google Chrome, you can access your account from a desktop app. Simply install it when prompted to, from your account or the browser. Account Security Passkeys – Secure Passwordless Authentication Passkeys are digital credentials that replaces passwords for authenticating users on websites and apps. They offer a faster, easier, and more secure sign-in experience compared to traditional passwords. They're incredibly easy to use and intuitive, eliminating the need for complicated password creation processes and the hassle of remembering them. Plus, they're unique to each website or application, so you don't have to worry about someone using your passkey to access other services. Passkeys use cryptographic key pairs, with the private key stored on the user’s device and the public key on the website or app’s servers. This means that a user can sign in using a biometric such as a fingerprint or facial recognition, or a PIN or pattern, instead of a password. Passkeys are available on both the web and the smartphone app, so you can have smartphone app users and web app sub-users register for them. To set up one for your web account, go to the Profiles page > Security > Actions > Add a Passkey. To set up another for the smartphone app, swipe left > Security > Enable Passkeys. To require your subusers and smartphone users to use passkeys when setting up their accounts, choose Passkeys under the Login Method. Two-factor Authentication Two-factor authentication (2FA) is an identity and access management security method that requires two forms of identification to gain access to an account. If logging in with a password, you can enable two-factor authentication, which will require you to enter a one-time code from a Google or Microsoft Authenticator app. Two-step authentication is available for the web app users who log in using passwords. To set it up, from the Profiles page, go to the Password tab, then select the Enable Two-Factor Authentication option. Note – you’ll need to use Google’s or Microsoft’s authenticator apps to scan the QR code displayed, then get the code to use on the form. Biometric Security On the smartphone app, you can enable fingerprint or face ID login. To do so, swipe left > Security > Enable Fingerprint / Face ID login. Note – passkeys offer this layer of security. Single Sign On On both the smartphone and web app, users can log in using their Google, Microsoft, Apple, or LinkedIn account. When setting up accounts for others, you can enforce a single sign-on as a login method. To get approved, log in to your account, then go to this page, and fill out the form. Once the form has been submitted, automated emails will be sent to the email address specified on the form. These emails will require the recipient to confirm their consent. Without this consent, the account will not be approved. From the beginning of April 2026, approved accounts will get 1000 free credits that will be deducted whenever a paid-for ticket is sold. Each paid-for ticket issued deducts a single credit. The 1000 credits are renewable for free every 12 months. Log in or sign up for your account using the email address that you purchased tickets with. You can also sign up using Google, Facebook, Microsoft, Apple, etc, as long as the email address associated with those platforms is the same as the one used to purchase tickets. Inside your account, you will be able to see all the tickets in one place. Under the Actions menu, there are options to manage the tickets, make changes, or view event privileges if any. Managing Tickets On the tickets table, find the tickets that you're interested in, then go to the Actions > Manage Tickets option. On the page that follows, you can: Change the name of the attendee or invite other guests, in cases where there are multiple tickets. Email, view, print, or save the ticket to Passbook/Wallet or NFC tags. Delete the ticket. If enabled by the event organizer, request refunds. Profile Changes To edit the profile details the event organizer has and can see about you, including your contact preference, go to the Edit Ticket Profile option. Event Privileges If the event organizer has set up perks based on the ticket types that you have, go to the Event Privileges option or page to view them. Deals & Offers If the event organizer has set up discount offers to be redeemed from local businesses, you can claim them in your account and use your ticket to redeem them. Membership You can join memberships from those who have organized them on our platform. The membership entitles you to claim rewards such as discount on tickets, access to exclusive tickets, and any other reward set up by the organizer. If the organizer has made discounts or exclusive tickets available, when booking tickets, enter your membership code on the form. You can type the membership code on the text box, or scan your QR code membership pass from a camera or upload a screenshot of it. From your account, you can find the memberships that you have joined and its details, renew those that are expiring, change the member's name, download passes, etc. Donations If you have donated any money from our platform, you can view when such donations were made, amount donated, the fundraising cause, and who organized it. Contacting The Event Organizer Option 1 If you're logged in to your Attendee account, go to the Contact option, under the Actions menu, to find the event organizer's email address. Option 2 If you have an e-ticket, you can also find their contact details in the Event Organizer Info section. Alternatively, you can also contact the event organizer using the contact form from the event's page itself. Option 3 From the event page where you booked the ticket, go to Options > Contact. NFC Tags You can save your tickets to NFC tag wearables such as wristbands, bracelets, key fobs, badges, lanyards, etc. Saving tickets to NFC tags can be useful for offline access, e.g. when you don't want to print tickets or don't want to rely on the smartphone. To write to NFC tags, click on the "Save To NFC Tags" button from your e-tickets or ticket management page. On the subsequent page, you'll have the option to use our iOS and Android apps or Chrome For Android browsers. Use the relevant buttons to write to the NFC tag, then verify that the tag was encoded correctly. Our Android or iOS apps can validate tickets from those entering or exiting a venue. To do so, the tickets first need to be validated. Once a ticket has been validated when exiting the venue, the ticket should be validated; and then validated again when entering the venue. Scanning QR Codes Go to In/Out of Venue > Re-scan Tickets on the smartphone app. Once the QR code has been scanned, the app will display whether a ticket is valid for re-entering or exiting a venue. When attendees re-enter a venue, valid tickets would only be from those who exited the venue and had their tickets validated on the way out. Using Redemption Codes Redemption codes are random numbers the platform generates when attendees request it from their accounts or tickets. To validate the redemption code, on the smartphone app, first choose the event once logged in. On the following screen, choose the event's date, then scroll to Redemption Codes. Tap on Movement Validation. On the next screen, enter an attendee's redemption code, then tap on the Validate button. The app will then display whether a ticket is valid for re-entering or exiting a venue. When attendees re-enter a venue, valid tickets would only be from those who exited the venue and had their tickets validated on the way out. Triggering Notifications Upon validation of the ticket, automated notifications can be triggered. Validating the tickets After the ticket validation has occurred, the privileges offered will be shown to the person doing the validation, where he or she can take the required action. Tickets can be validated via smartphone apps, the web app or the Windows desktop app. Validation via smartphone apps Our Android or iOS apps can be used to validate event privileges online or offline. To do so, log in using your account’s email address and password. If you have a team, create Smartphone App user accounts for them to log in with. Scanning QR codes Once logged in, choose the event. On the subsequent screen, choose the event's date, then tap on Special Access or Event Privileges. On the screen that follows that, choose the event privilege then scan the attendee's QR code ticket. Using Redemption Codes Redemption codes are random numbers the platform generates when attendees request it from their accounts or tickets. Once logged in, choose the event. On the subsequent page, choose the event's date then scroll to Redemption Codes. Tap on Event Privileges Validation. On the next screen, choose the name of the privilege, then enter an attendee's redemption code, and finally tap on the Validate button. Validation via the web app From the Events page, on the table go to Actions > Event Privileges. On the Event Privileges page, on the table, choose the correct privilege, then go to Actions > Validate Access. On the new page, select the event, then use the search functionality on the table to search for the attendee or ticket. Using redemption codes You can also validate redemption codes from attendees. Redemption codes are random numbers the platform generates when attendees request it from their accounts or tickets. To use a redemption code, click on the Redemption Code button, then enter the code from the attendee. Once submitted, the table will be filtered to show who the code belongs to. After that, click on the Validate button. Using webcams QR codes on the tickets can be scanned using webcams. To scan the QR code using a webcam, click on the Webcam Scanning button. On the prompt that gets displayed, choose the webcam under Video Source, then click on the Start Scanning button. After that, accept the browser’s permission, then present an attendee’s QR code once the video can be seen. When a QR code has been detected, the table will be filtered to show who the ticket belongs to. If a result is found, click on the Validate button to validate the ticket. Using Bluetooth, Wireless or USB Scanners If you have a Bluetooth/Wireless or USB QR Code keyboard wedge scanner, scanning the QR code tickets will automatically trigger a search for the ticket ID on that table. If a result is found, click on the Validate button to validate the ticket. Validation via Windows Desktop App From your account download the Windows Desktop App. Install it on your computer, then log in using your account’s email address and password. Once logged in, go to the Events page. Choose the event you want then click on Import Now. Ideally, this should be done when the ticket sales are over so that everyone’s information can be imported. Configure the Android or iOS app to use the Windows Desktop address. Go to Settings (swipe left), then enter the Windows Address as shown by the Windows App. On the Windows App, go to the Smartphone Access page. Scroll down to the table, then click on Add User. These users can then log in to the smartphone app, and validate tickets. This QR code contains unique data that can be validated, only once, on the platform. Subsequent validation of the same QR code will fail. Ticketing.events offers a variety of ways to validate tickets. Validation via smartphone apps Our Android or iOS apps can be used to validate QR code tickets online or offline. To do so, log in using your account's email address and password. If you have a team, create Smartphone App user accounts for them to log in with. Once logged in, choose the event. On the subsequent screen, choose the event's date, then how to validate the tickets. After choosing the validation method, proceed to scan the QR codes. The results of the scan will be displayed thereafter. If the ticket is valid, the outcome will show relevant attendee details such as their name, ticket type, ticket name, notes, and any other custom data that was captured when the tickets were booked. Online QR Code validation To validate tickets online, choose the Validate Online option. With this option, validated tickets will immediately be viewable in your web account, and also on other smartphone devices. Offline QR code validation To validate tickets offline, choose the Validate Offline option. Before setting it up, you will initially need an Internet connection to download the entire ticket data required for validation. This should be done when there are no more tickets being sold so that the app can have everyone's data. Each smartphone app used for offline validation should have its own copy of the ticket data. Thus, the step above should be repeated on each device. When validating tickets offline: Offline scanned data can be synced back to the web app when an Internet connection is present. Offline devices do not share information among themselves so a ticket validated on one device will still be valid on another offline device. Searching for an attendee If a QR code is not available for scanning, the attendee's details can be retrieved by an email address search. Using redemption codes Another way to validate tickets is by using their redemption codes. On the Validation Options screen, scroll to Redemption Codes > Ticket Validation. On the screen that follows that, enter the code an attendee would tell you. Attendees need to click Redemption Codes links in their accounts or tickets for the platform to generate random codes. These codes are temporary. An Internet connection is required to generate and validate them. Validation via the web app To validate tickets from a browser, go to Ticket Validation > Browser-based. On the new page, select the event, then use the search functionality on the table to search for the attendee. Click on the Validate button to validate the ticket from the corresponding attendee. Using redemption codes You can also validate redemption codes from attendees. Redemption codes are random numbers the platform generates when attendees request it from their accounts or tickets. To use a redemption code, click on the Redemption Code button, then enter the code from the attendee. Once submitted, the table will be filtered to show who the code belongs to. After that, click on the Validate button. Using webcams QR codes on the tickets can be scanned using webcams. To scan the QR code using a webcam, click on the Webcam Scanning button. On the prompt that gets displayed, choose the webcam under Video Source, then click on the Start Scanning button. After that, accept the browser's permission, then present an attendee's QR code once the video can be seen. When a QR code has been detected, the table will be filtered to show who the ticket belongs to. If a result is then found, click on the Validate button to validate the ticket. Using Bluetooth, Wireless or USB Scanners If you have a Bluetooth/Wireless or USB QR Code keyboard wedge scanner, scanning the QR code tickets will automatically trigger a search for the ticket ID on that table. If a result is found, click on the Validate button to validate the ticket. Validation via browser extensions You can install our Google Chrome extension or Microsoft Edge add-on then use a webcam to scan QR code tickets. Once you have installed the extension/add-on, go to the Scan QR Code Tickets option then choose an event and its date. You will need to grant permission for the extension/add-on to use your webcam. When you then scan a valid ticket, the scan results will show the attendee's name, company, ticket type, ticket name, and validation notes. Triggering Notifications Upon validation of the ticket, automated notifications can be triggered. They include push notifications, webhooks, Google Spaces and Microsoft Teams chat notifications, Zapier or Microsoft Power Automate workflows, and to-do tasks. Exporting contact details (non-attendance) Data exported will show the attendees' names, email addresses, and any other custom field data that were captured for those whose tickets were not validated. Exporting contact details + Ticket IDs Data exported will show the attendees' names, email addresses, QR code ticket IDs, and any other custom field data that were captured. Syncing with Google Sheets or Excel Online Attendance details can be synced with either Google Sheets or Excel Online in real-time. From the Integrations page, choose the spreadsheet platform that you want to sync with. If it's not connected to your account, first do that then follow all the authentication and connection prompts shown. If the spreadsheet platform is already connected to your account, click on the Settings button. On the Settings page, choose the spreadsheet, and the worksheet, then ensure the "Check-in Logging" checkbox is checked. Choose the desired gateway, then follow the setup guidelines shown. Passing on charges You can have the attendee pay the gateway's transaction fees, and our service charges. These passed-on charges are added to the total amount payable after the tickets have been summed up. Transaction Fees To pass on the gateway's transaction fees, for example with Stripe, choose "Yes" under Pass On Stripe Charges. Enter the transaction fees that should be added to what the attendee pays. The fees the gateways charge are listed on their respective websites. Service Charges To pass on our service charges, choose "Yes" under Pass On Ticketing.events Service Charges. Testing payments During the initial payment gateway set up, you will be able to make test payments by indicating so on the form. Note: this feature, may not be available for some gateways. To make test payments at another time, go to the Payments page. Find the integration set up you want to test, then go to Actions > Test Payments. On the new page, if a Test Payment checkbox is displayed, tick it, When making the test payment, you will need to use your gateway's test credentials on the payment gateway setup form. Once the test is complete, update the credentials to the live/production ones. Making changes To make changes go to Action > Edit. When making changes, and you have more than one payment gateway set up, ensure that one of them is the main one for accepting payments. Check the Default Gateway checkbox. On the pop-up that appears, click on the icon besides the ticket's name. Then choose the quantities to remove and submit the form. When a ticket is removed, it will no longer be valid when scanned. The attendee will receive an email informing him/her of the removed ticket. Removing a ticket does not issue refunds. Viewing tickets To view the tickets the attendee holds, under the Upcoming Events, go to the More Options menu then click on View Tickets. On the pop-up that appears, click on the View button beside the ticket's name. This action will lead you to a page where the ticket can be managed. This URL of that page can be shared with the attendee should they wish to make changes or access the tickets by themselves. On the Add Tickets page, choose the tickets to add. To add tickets to new attendees, when filling out the form, check the Add Tickets checkbox, then proceed to choose the tickets. Adding tickets to many attendees at once Tickets can be allocated to many attendees at once using a CSV file. This option allows you to have the platform either email the e-tickets automatically, generate links to the e-tickets that you can email using a different platform, or enable you to print the e-tickets. From the Attendees page, go to Actions >Import Many Attendees. On the new page, upload a CSV file with the attendee details. At a minimum, you need their first and last names and their email addresses. Click on the Add Tickets to Attendees checkbox, then choose the relevant ticket options. Adding tickets to a couple of selected attendees Another way to add tickets to multiple attendees is by selecting them from the table using the checkbox, then clicking on the Ticket Selected button. Adding tickets via automated workflows Using Zapier Using Zapier, you can automate how attendees get tickets allocated to their profile. This can be done, for example, when editing a Google Sheet, MailChimp list, etc, attendee details can automatically be retrieved from it and used on Ticketing.events to issue tickets. You first need to set up a Zap trigger. After that, choose the app Ticketing.events, and the action Create Attendee With Tickets. Click on Continue, then authenticate your account. In the step that follows, map data from your Zap trigger on to the fields that you want to populate automatically. Proceed to then test the integration, and turn the Zap on. Using Microsoft Power Automate Given an Excel Online spreadsheet with attendee details such as names and email addresses, first, convert the spreadsheet to a table. Note - if using another spreadsheet such as a Google Sheets one, these table steps are not necessary. Your spreadsheet, however, will need to have row headers/titles. To create a table on Excel Online, go to Insert > Table. When prompted to confirm if the table has headers, ensure the checkbox is checked. Rename the table by going to Table Tools > Design > Table Name. Make a note of the new name as it will be used later during the flow setup. In your Power Automate account, go to My Flows. On the new page, click on New, then choose Scheduled – from blank. In the prompt that appears, enter a name for the flow, then choose a schedule e.g every hour. On the new page, click on the New Step button, then depending on your choice, search, and select Excel or Google Sheets connector. Excel Example Under Excel Actions, choose “List rows present in a table”. Excel example If using Google Sheets, you would choose “Get rows”, then follow the prompts to choose the location of the file, and sheet. Google Sheets example With Excel, you would then be presented with a prompt to choose the location of the file, and the name of the table. Once that is done, click on the New Step button, then search for “Ticketing.events” connector. Under its Actions option, choose "Add tickets to attendees". On the prompt that then appears, populate the form with your event details. When it comes to the attendee details section, use dynamic content from the Excel rows. If presented with an "Appy to each" prompt, click on the "Add tickets to attendees" title to expand the content of the connector. After that, proceed with adding more dynamic content for the remaining fields. Once that’s done, save the flow set up, ensure there are no warnings under the flow checker, then test. Importing Attendees To import many attendees, you can use a CSV file that should contain the names and email addresses of the attendees. Use the Actions > Import Many Attendees option. On the new page, upload your CSV file, then indicate how the data is structured within it. If you want to add tickets too, whilst importing the attendee, check the Add Tickets checkbox. Choose the ticket details, then continue filling out the rest of the form. Automatically adding attendees from other apps or platforms Using Zapier, you can automate how attendees are added to your account. For example, you could edit a Google Sheet row, and have the data on that row automatically used to add an attendee to your event. You first need to set up a Zap trigger. After that, choose the app Ticketing.events, and the action Create Attendee. Click on Continue, then authenticate your account. In the step that follows, map data from your Zap trigger onto the fields that you want to populate automatically. Setting up the coupons From the Events page, find the event on the table, then go to Actions > Edit Event > Edit Tickets Page. On the new page, fill out the spreadsheet with your preferred settings. Ticket Type / Ticket Name - choose either Paid Ticket for all paid-for tickets or enter a specific ticket name. Discount Type - choose to offer a fixed deduction or a percentage-based one. Discount Value - enter the value of the discount that corresponds to the Discount Type setting. Coupon Code - specify the coupon code Valid Until - if specified, the coupon will expire past the specified date. Minimum Spend Amount - if a number is specified, the total amount the ticket buyer pays should be equal to or greater than what's specified, for the coupon to be valid. Limit Per Buyer - indicate if the same coupon code can be used by the other attendees. Maximum Limit - the maximum times the coupon code can be used. For single-use, set to 1. For unlimited use, leave the field empty. Viewing coupon redemption reports To view the coupon usage statistics go to Options > Export Coupon Usage or Attendees > Export > Contact Details + Money Spent. ======================================== ARTICLE ID: 18 TITLE: Setting Up Custom Fields URL: https://kb.ticketing.events/knowledge-base/custom-fields/ PUBLISHED: 2019-10-02 22:53:29 ---------------------------------------- Capturing custom data With the Custom Fields feature, you can create extra input fields to capture data from attendees. These input fields are displayed on the page where attendees enter information while booking their tickets. Setting up custom fields To set the Custom Fields up, go to the Events page, find the event on the table, then go to Actions > Edit Event > Edit Tickets Page. On the new page, scroll down to the Custom Fields section, then enter the questions you want the platform to ask. Description of the fields Questions - enter what the app should ask. Mandatory - if set to Yes, the Question must be answered. Answer Type - the choice made here determines how the answer to the question is presented. See below. Options - this is relevant if the Answer Type requires it. Show On Attendee Table - if set to Yes, what was captured will be shown on the Attendees page. All captured data can be exported to CSV files. Answer Types Answer Type Description Text Use this for short descriptions. Long Text Use this for long descriptions. Multiple Options Use this where one or more choices need to be selected. The choices will be presented as checkboxes. In the Options section, enter comma-separated values for each of the choices. Select Use this for dropdown menus. In the Options section, enter comma-separated values, for each option that can be selected. By default, the first comma-separated value will be selected on the dropdown. If that is not desired, you can set the very first character as a comma instead. Autocomplete Use this for dropdown menus where suggestions are made as one types. In the Options section, enter comma-separated values, for each option that can be selected. Email Use this for email addresses only. Numeric Use this for numbers only. Date Use this to capture dates only. Time Use this to capture time only. Radio Use this where one choice need to be selected from multiple choices. The choices will be presented as radios. In the Options section, enter comma-separated values for each of the choices. Consent Checkbox Use this to display a non-mandatory checkbox, for example to capture marketing preference. If the user checks the box, the answer will be displayed as "Yes". In the Options section, enter what they're consenting to. Single Checkbox Use this to display a non-mandatory checkbox. If the user checks the box, the answer will be what you have set in the Options section. Access Code Sheet Use this to force the user to enter an access code before proceeding with the ticket booking process. The access code are hard-coded in the Options section. See below. Access Code Remote Use this to force the user to enter an access code (e.g membership ID numbers, etc) before proceeding with the ticket booking process. The access code are dynamic and come from a Google Spreadsheet. See below. Access Codes You can set up a custom field that forces a user to enter a valid code before they're allowed to book a ticket. The code acts like a password that grants access to a limited feature. When a user fills out their details when booking a ticket, they would be prompted to enter the access code. You would need to specify what those valid codes are in your account. There are two ways of doing so. The codes can either be specified as comma-separated values, or from a remote CSV file. Access Codes From CSV Files This feature only works when using Google Sheets as the source of the data. Note - the app will continually check for changes in the Google Sheets spreadsheet. Open a new Google Sheet file. In cell A1, ensure that it has a title named Codes. In the other subsequent cells, enter the access codes you want. After that, go to File > Share > Publish To The Web. In the prompt that then appears, select the Link tab. Select the sheet’s name, e.g. Sheet 1, then select Comma-separated Values (.csv). Under the Published content and settings, choose the name of the sheet, then check the box Automatically republish when changes are made. Click on the Publish button, then copy the share URL provided. Back in your account, go to the Custom Fields section. Under the Answer Type column, choose Access Code Remote. Under the Options column, enter the Google Sheets URL that you copied. Under the Questions column, enter any value that the user should be prompted with. Access Codes From Comma-separated Values Go to the Custom Fields section. Under the Answer Type column, choose Access Code Sheet. Under the Options column, enter comma-separated values that comprise the access codes. Re-arranging the order of tickets To re-arrange the order of tickets, click on the row's number, then drag the row to the desired position. Once you are satisfied with the order, save the changes. Descriptions of the fields Ticket Type - you can either set up Free Tickets or Paid Tickets Ticket Name - type the name of the ticket. This is required. Description - enter a description if necessary. Ticket Price - enter the price for the tickets. For free events, enter 0.00. Refundable - if set to Yes, and the payment gateway supports it, ticket buyers can request refunds in an automated way. Tickets Available - if a number is specified, this will put a limit on the maximum number of tickets available for sale for the corresponding ticket name. Minimum Tickets Per Attendee - if a number is specified, the ticket buyer will need to buy tickets in the minimum quantity specified. Maximum Tickets Per Attendee - if a number is specified, the ticket buyer will need to buy tickets whose quantity does not exceed what is specified. Note - the number specified does not stop the same attendee from purchasing the ticket multiple times. For stricter limits, set a restriction. Private Ticket - if set to Yes, no one outside your ticketing.events account can view it When Available - if a specific date & time is chosen, the ticket will be available for that specific day & time only. Other restrictions, such as the Tickets Available, will also only apply to the specified period. Note: if your event only has a single date and time, the When Available option should not be used. Start Sale On - if you want ticket sales to start at a future date, enter the desired date. This is an optional field. Leave it blank unless you want a specific start date. End Sale On - if you want ticket sales to end at a future date, enter the desired date. This is an optional field. Leave it blank unless you want a specific end date. If Refundable is set to Yes on the ticket setup spreadsheet, choose how much of the refund should be made. Setting ticket restrictions You can set a limit on the number of tickets a single person can book based on a number of criteria, such as email addresses, email domains, previous reservations, etc. Learn more about ticket access and restrictions. Viewing ticket sales From the Events page, on the table, click on the numbers under the Tickets Sold column. Tickets Sold Example On the page that follows, the ticket sales table will show some statistics, such as the one shown below. At the top-right of the page, under the Actions menu, there are options to reset the tickets, prepare for the event, or view reports. Descriptions of the options Reset Tickets - this option will make all validated tickets valid again. See an example. The ticket reservation wizard can be embedded on other websites. The logo and theme colors are customizable on an event's listing pages and on the e-tickets issued. See an example. Creating An Event To create an event, go to the Events page. On this page, go to the Actions > Create Event button. In the pop-up, enter the event's title then click on the Create button. Event Dates & Time On the new page, fill out the event's basic details such as date, time, and timezone. Cover Photos Optionally, add large promotional cover photos. At the top of the page, go to Actions, then choose one of the edit options to continue editing other attributes of the event. To view what the listing page looks like click on the View option. Event Description From the Event Details page, add an event description, and optionally a link to a Youtube or Vimeo video. Venue Details Under the Venue section, add your venue details, for a physical location, which will then be displayed as a map. You can also enable What3Words to help customers share and find the venue using three memorable words. If the event spans multiple days, you can enable the lodging integration to help customers find hotels and other places to lodge. If your event is virtual (held online only), indicate it as such, then enter the meeting's URL and access instructions. Note - for virtual events, the e-tickets sent do not include a QR code. Agenda If the event has a schedule, you can define the start and end times, etc. Sponsors Add logos of the sponsors if applicable. Tickets From the Events Tickets page, enter details about the tickets as described here on the Managing Tickets page. Coupons If you are charging for the tickets, you can create various types of coupons as described here on the Managing Coupons page. Coupons Set up questions and answers to issues customers generally enquire or may enquire about. Terms & Conditions You can add your own terms and conditions for the sales of the tickets, attendance, etc. Custom Fields You can capture more data by setting up custom form fields that should be filled out by when tickets are being booked. Viewing The Event Page Once you have published the event, from the Events page, go to the table and then find the event that you're interested in. Go to its Action menu, then click on the View Event option. Copy the URL of the event page and share it on your promotional channels. Pausing an Event By pausing an event, you make your event page inaccessible thereby stopping ticket sales. To pause an event, change it's status from Live to Not Published. From the Events page, on the events table, under the Status column, click on the Live button then follow the prompts to change it status. To un-pause the event simply click the Not Published button and change it to Live. ========================================
