<h4 class="wp-block-heading">Attendee Details</h4>



<p>In order to view attendees and their details, you need to go to the <a href="https://ticketing.events/app/attendees?link=1">Attendees</a> page.</p>



<p>On the Attendees page, choose the name of the event from the dropdown menu at the top.</p>



<p>Attendee details will then be shown on the table. These details include the names, contact information, such as email addresses and mobile numbers, and the number of tickets purchased.</p>



<p>If you have set up <a href="https://kb.ticketing.events/knowledge-base/custom-fields/">custom fields</a>, the option &#8220;<em>Show On Attendee Table</em>&#8221; set to &#8220;<em>yes</em>&#8220;, then the captured details will also be shown on the table.</p>



<p>The details shown on the table can be filtered based on a number of criteria.</p>

<h5 class="wp-block-heading">Imported Attendees</h5>



<p>When this option is selected, attendees that you <a href="https://kb.ticketing.events/knowledge-base/adding-attendees/">manually added</a> will be displayed on the table.</p>



<h5 class="wp-block-heading">Ticket Buyers</h5>



<p>When this option is selected, details of those who booked their own tickets will be shown on the table.</p>



<p>Note &#8211; ticket buyers are not necessarily the people who will attend the event in person.</p>



<h5 class="wp-block-heading">Attendees by Ticket Types</h5>



<p>This option will show the details of the attendees (or ticket buyers) for specific <a href="https://kb.ticketing.events/knowledge-base/managing-tickets/">ticket types</a> that you have set up.</p>

<h4 class="wp-block-heading">Searching for attendees</h4>



<p>You can search for attendees using either their names, email addresses or mobile numbers.</p>



<p>Note &#8211; anything displayed on the table including <a href="https://kb.ticketing.events/knowledge-base/custom-fields/">custom fields</a> that have been configured to be displayed on the table can be searched.</p>



<p>To make a search, use the search field on the table.</p>

<p>Details of the attendees who have had their tickets validated can be viewed and exported from the <strong>Ticket Validation</strong> &gt; <a href="https://ticketing.events/app/boxoffice/live">Checked-in Attendees</a> page.</p>



<p>To export the details of those who attended, from the checked-in attendees&#8217; table, go to <strong>Options</strong> &gt; <strong>Export Attended</strong>.</p>



<h5 class="wp-block-heading">From the smartphone app</h5>



<p>From the phone app, on the <strong>Validation Options</strong> screen, scroll to <strong>View History</strong>.</p>

<h4 class="wp-block-heading">Viewing non-attendance details</h4>



<p>Details from those who did not attend an event can be exported from the same <strong>Checked-in Attendees</strong> page.</p>



<p>From the table, go to <strong>Options</strong> &gt; <strong>Export Non-attendance</strong>.</p>

<h4 class="wp-block-heading">Syncing with Google Sheets or Excel Online</h4>



<p>Attendance details can be synced with either Google Sheets or Excel Online in real-time.</p>



<p>From the <a href="https://ticketing.events/app/integrate">Integrations</a> page, choose the spreadsheet platform that you want to sync with.</p>



<p>If it&#8217;s not connected to your account, first do that then follow all the authentication and connection prompts shown. </p>



<p>If the spreadsheet platform is already connected to your account, click on the <strong>Settings</strong> button.</p>



<p>On the <strong>Settings</strong> page, choose the spreadsheet, and the worksheet, then ensure the &#8220;<em>Check-in Logging</em>&#8221; checkbox is checked.</p>



<p>Note: when the syncing is active, the platform will automatically create a worksheet, to log the attendee details, using the spreadsheet file that you nominate to use.</p>

<p>When a ticket is removed, it will no longer be valid when scanned. The attendee will receive an email informing him/her of the removed ticket.</p>



<p>Removing a ticket does not issue refunds.</p>

<h4 class="wp-block-heading">Viewing tickets</h4>



<p>To view the tickets the attendee holds, under the <strong>Upcoming Events</strong>, go to the More Options menu then click on View Tickets.</p>

<p>On the pop-up that appears,  click on the <strong>View</strong> button beside the ticket&#8217;s name.</p>

<p>This action will lead you to a page where the ticket can be managed. </p>



<p>This URL of that page can be shared with the attendee should they wish to make changes or access the tickets by themselves.</p>



<p>From those URLs, attendees can:</p>



<ul class="wp-block-list"><li>create an account, if they haven&#8217;t done so already, and view all their tickets in one place;</li><li>invite guests or change who will be attending the event;</li><li>email, print or add tickets to Passbook/wallet apps.</li></ul>

<h4 class="wp-block-heading">Adding tickets to many attendees at once</h4>



<p>Tickets can be allocated to many attendees at once using a CSV file. </p>



<p>This option allows you to have the platform either email the e-tickets automatically, generate links to the e-tickets that you can email using a different platform, or enable you to print the e-tickets.</p>



<p>From the Attendees page, go to <strong>Actions</strong> ><strong>Import Many Attendees</strong>.</p>

<p>On the new page, upload a CSV file with the attendee details. At a minimum, you need their first and last names and their email addresses.</p>



<p>Click on the <strong>Add Tickets to Attendees</strong> checkbox, then choose the relevant ticket options.</p>

<h4 class="wp-block-heading">Adding tickets to a couple of selected attendees</h4>



<p>Another way to add tickets to multiple attendees is by selecting them from the table using the checkbox, then clicking on the <strong>Ticket Selected</strong> button.</p>

<h4 class="wp-block-heading">Adding tickets via automated workflows</h4>



<h5 class="wp-block-heading">Using Zapier</h5>



<p>Using&nbsp;<a href="https://kb.ticketing.events/knowledge-base/integrating-with-zapier/">Zapier</a>, you can automate how attendees get tickets allocated to their profile. </p>



<p>This can be done, for example, when editing a Google Sheet, MailChimp list, etc, attendee details can automatically be retrieved from it and used on Ticketing.events to issue tickets. </p>



<p>You first need to set up a Zap&nbsp;<a rel="noreferrer noopener" href="https://zapier.com/help/create/basics/set-up-your-zap-trigger" target="_blank">trigger</a>.</p>



<p>After that, choose the app&nbsp;<strong>Ticketing.events</strong>, and the action&nbsp;<strong>Create Attendee</strong> <strong>With Tickets</strong>.</p>

<p>In the step that follows, map data from your Zap trigger on to the fields that you want to populate automatically.</p>

<h5 class="wp-block-heading">Using Microsoft Power Automate</h5>



<p>Given an Excel Online spreadsheet with attendee details such as names and email addresses, first, convert the spreadsheet to a table.</p>



<p>Note &#8211; if using another spreadsheet such as a Google Sheets one, these table steps are not necessary. Your spreadsheet, however, will need to have row headers/titles.</p>



<p>To create a table on Excel Online,  go to <strong>Insert</strong> &gt; <strong>Table</strong>.</p>

<p>When prompted to confirm if the table has headers, ensure the checkbox is checked.</p>

<p>Rename the table by going to <strong>Table Tools</strong> &gt; <strong>Design</strong> &gt; <strong>Table Name</strong>. Make a note of the new name as it will be used later during the flow setup.</p>

<p>On the new page, click on&nbsp;<strong>New</strong>, then choose&nbsp;<strong>Scheduled – from blank</strong>.</p>

<p>In the prompt that appears, enter a name for the flow, then choose a schedule e.g every hour.</p>

<p>With Excel, you would then be presented with a prompt to choose the location of the file, and the name of the table.</p>

<p>On the prompt that then appears, populate the form with your event details.</p>



<p>When it comes to the attendee details section, use <strong>dynamic content</strong> from the Excel rows.</p>

<h4 class="wp-block-heading">Adding attendees from your account</h4>

<h5 class="wp-block-heading">Importing Attendees</h5>



<p>To import many attendees, you can use a CSV file that should contain the names and email addresses of the attendees. Use the <strong>Actions</strong> > <strong>Import Many Attendees</strong> option. </p>



<p>On the new page, upload your CSV file, then indicate how the data is structured within it.</p>

<h4 class="wp-block-heading">Automatically adding attendees from other apps or platforms</h4>



<p>Using <a href="https://kb.ticketing.events/knowledge-base/integrating-with-zapier/">Zapier</a>, you can automate how attendees are added to your account.  For example, you could edit a Google Sheet row, and have the data on that row automatically used to add an attendee to your event.</p>



<p>You first need to set up a Zap <a rel="noreferrer noopener" href="https://zapier.com/help/create/basics/set-up-your-zap-trigger" target="_blank">trigger</a>.</p>



<p>After that, choose the app <strong>Ticketing.events</strong>, and the action <strong>Create Attendee</strong>.</p>
