<p>You can use Mail Merge to send your attendees custom emails with our QR Code tickets.</p>



<p>This feature can be used for both new and existing attendees.</p>



<p>For new attendees, from the <strong>Attendees</strong> page, go to <strong>Actions</strong> > <strong>Import Many Attendees</strong>.</p>



<p>On the import page, select the event, upload your CSV file with the attendee details, and choose the event tickets and date.</p>



<p>After that, choose the <strong>Download Ticket URLs</strong> option.</p>

<p>Once your attendee details have been imported from the confirmation message, download the CSV file to use with your mail merge.</p>

<p>The CSV file will contain the names of the attendees, a URL to their ticket page, and a URL for the QR Code itself.</p>

<p>For existing attendees, from the <strong>Attendees</strong> table, go to <strong>Options</strong> > <strong>Download Ticket URLs</strong>.</p>

<h4 class="wp-block-heading">Overview</h4>



<p>Event Privileges is a feature on the <a href="https://ticketing.events/">Ticketing.events</a> platform that enables you to grant ticket holders special privileges based on the type of tickets that they have.</p>



<p>For example, you can create season tickets by granting repeat access to an event; or offer perks and other rewards to those who hold a specific ticket.</p>



<p>The same tickets used to admit the attendee to the event are also used to authenticate access to the <a href="https://kb.ticketing.events/knowledge-base/event-privileges-validation/">privileges</a>.</p>



<h4 class="wp-block-heading">Setting up event privileges</h4>



<p>To set up <strong>Event Privileges</strong>, go to the <a href="https://ticketing.events/app/events">Events</a> page. On the table, go to <strong>Actions &gt; Event Privileges</strong>.</p>

<li><em>Grant Access To</em> &#8211; describe what the privilege or perk is. This will be displayed when validating tickets.</li>



<li><em>Valid From</em> &#8211; indicate when the privilege should begin.</li>



<li><em>Valid To</em> &#8211; optionally indicate when the privilege should end.</li>



<li><em>Frequency</em> &#8211; enter how many times the privilege should be redeemed. Enter 0 for limitless.</li>



<li><em>Allowed Tickets</em> &#8211; choose the ticket names that should have access to the named privilege.</li>

<p>For any ticket that you have in your account, you can define who can access them and also set the maximum number of tickets that an individual can book for each ticket type.</p>



<p>The access can be set based on a number of criteria. For instance, access can be set either for anyone who books a ticket, only for those with specific email addresses or email domains, or for those who have booked tickets from a previous event.</p>



<p></p>



<p>To set grant ticket access and set ticket limits, from the <a href="https://ticketing.events/app/events">Events</a> page, find the event on the table, then go to <strong>Actions </strong>&gt;<strong> Edit Tickets Page</strong>.</p>



<p>On the spreadsheet section, go to <strong>Options</strong> &gt; <strong>Ticket Access &amp; Limits</strong>.</p>

<h3 class="wp-block-heading">Setting up ticket limits for anyone</h3>



<p>To set the maximum number of tickets anyone can book, find the row with the desired ticket name, then choose <strong>Anyone Can Book</strong> from the second dropdown menu.</p>



<p>In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets.</p>

<p>In some cases, you may wish to allow only those who have a certain email domain to register and book tickets. For example, work domains, school or university domains, etc.</p>



<p>To set this access and limitation up, find the row with the desired ticket name, then choose <strong>Only Those With The Following Email Domains</strong> from the second dropdown menu.</p>



<p>In the options field, enter comma-separated domain names, e.g. harvard.edu, nyu.edu.</p>



<p>In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets.</p>

<p>You can also set up limits for those with specific email addresses. For example, you can create a ticket for volunteers. </p>



<p>To set this access and limitation up, find the row with the desired ticket name, then choose <strong>Only Those With The Following Email Address</strong> from the second dropdown menu.</p>



<p>In the options field, enter comma-separated email addresses.</p>



<p>In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets.</p>

<p>In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets.</p>



<h3 class="wp-block-heading">Setting up ticket access and limits for those who have joined a membership</h3>



<p>You can grant access to tickets that only those who have joined a <a href="https://kb.ticketing.events/knowledge-base/membership-passes-and-rewards/">membership</a>. For example, you could offer exclusive tickets to members and limit how many each can have.</p>



<p>To set this access and limitation up, find the row with the desired ticket name, then choose a membership from the <strong>Membership</strong> section from the second dropdown menu.</p>



<p>In the last dropdown menu, choose the maximum number of tickets allowed per person. If no limit is required, set it to Unlimited Tickets.</p>



<h3 class="wp-block-heading">Setting up ticket access using Access Codes</h3>



<p>You can set up multiple access codes such that without them, tickets cannot be booked.</p>

<p>The platform makes it easy for you to create new events by simply copying attributes from an existing one.</p>



<p>To do so, go to the <a href="https://ticketing.events/app/events">Events</a> page, then find the existing event that you want to copy. </p>



<p>Go to its <strong>Action</strong> menu, then click on <strong>Copy Event</strong>.</p>

<h4 class="wp-block-heading">Overview</h4>



<p>You can enter coupon codes that attendees can use to redeem discounts.</p>



<p>Discounts can either be based on a percentage or a fixed amount.</p>



<p>The coupons can have their validity set to expire at a date in the future, or only after a specified minimum amount has been spent.</p>



<h4 class="wp-block-heading">Setting up the coupons</h4>



<p>From the&nbsp;<a href="https://ticketing.events/app/events">Events</a>&nbsp;page, find the event on the table, then go to <strong>Actions</strong> &gt; <strong>Edit Event</strong> &gt; <strong>Edit Tickets Page</strong>. </p>



<p>On the new page, fill out the spreadsheet with your preferred settings.</p>

<li><em>Ticket Type / Ticket Name </em>&#8211; choose either <strong>Paid Ticket</strong> for all paid-for tickets or enter a specific ticket name.</li>



<li><em>Discount Type</em> &#8211; choose to offer a fixed deduction or a percentage-based one.</li>



<li><em>Discount Value</em> &#8211; enter the value of the discount that corresponds to the <em><strong>Discount Type</strong></em> setting.</li>



<li><em>Coupon Code</em> &#8211; specify the coupon code</li>



<li><em>Valid Until </em>&#8211; if specified, the coupon will expire past the specified date.</li>



<li><em>Minimum Spend Amount</em> &#8211; if a number is specified, the total amount the ticket buyer pays should be equal to or greater than what&#8217;s specified, for the coupon to be valid.</li>



<li><em>Limit Per Buyer</em> &#8211; indicate if the same coupon code can be used by the other attendees.</li>



<li><em>Maximum Limit</em> &#8211; the maximum times the coupon code can be used. For single-use, set to 1. For unlimited use, leave the field empty.</li>

<p>To view the coupon usage statistics go to <strong>Options</strong> &gt; <strong>Export Coupon Usage</strong> or  <a href="https://ticketing.events/app/attendees?link=1">Attendees</a> &gt; <strong>Export</strong> &gt; <strong>Contact Details + Money Spent</strong>.</p>

<h4 class="wp-block-heading">Access Codes</h4>



<p>You can set up a custom field that forces a user to enter a valid code before they&#8217;re allowed to book a ticket. </p>



<p>The code acts like a password that grants access to a limited feature. </p>



<p>When a user fills out their details when booking a ticket, they would be prompted to enter the access code.</p>

<p>You would need to specify what those valid codes are in your account.</p>

<p>There are two ways of doing so. The codes can either be specified as comma-separated values, or from a remote CSV file.</p>



<h5 class="wp-block-heading">Access Codes From CSV Files</h5>



<p>This feature only works when using Google Sheets as the source of the data. </p>



<p>Note &#8211; the app will continually check for changes in the Google Sheets spreadsheet.</p>



<p>Open a new Google Sheet file.</p>



<p>In cell <strong>A1</strong>, ensure that it has a title named <strong>Codes</strong>.</p>



<p>In the other subsequent cells, enter the access codes you want.</p>

<p>In the prompt that then appears, select the&nbsp;<strong>Link</strong>&nbsp;tab.</p>



<p>Select the sheet’s name, e.g. Sheet 1, then select&nbsp;<strong>Comma-separated Values&nbsp;</strong>(.csv).</p>



<p>Under the&nbsp;<strong>Published content and settings</strong>, choose the name of the sheet, then check the box&nbsp;<strong>Automatically republish when changes are made</strong>.</p>

<p>Right-click the spreadsheet for more editing options, such as adding new rows or deleting them.</p>



<h5 class="wp-block-heading">Re-arranging the order of tickets</h5>



<p>To re-arrange the order of tickets, click on the row&#8217;s number, then drag the row to the desired position.</p>



<p>Once you are satisfied with the order, save the changes.</p>

<ul class="wp-block-list">
<li><em>Ticket Type</em> &#8211; you can either set up <strong>Free Tickets</strong> or <strong>Paid Tickets</strong></li>



<li><em>Ticket Name</em> &#8211; type the name of the ticket. This is required.</li>



<li><em>Description</em> &#8211; enter a description if necessary.</li>



<li><em>Ticket Price</em> &#8211; enter the price for the tickets. For free events, enter 0.00.</li>



<li><em>Refundable</em> &#8211; if set to <strong>Yes</strong>, and the payment gateway supports it, ticket buyers can request refunds in an automated way.</li>



<li><em>Tickets Available</em> &#8211; if a number is specified, this will put a limit on the maximum number of tickets available for sale for the corresponding ticket name.</li>



<li><em>Minimum Tickets Per Attendee</em> &#8211; if a number is specified, the ticket buyer will need to buy tickets in the minimum quantity specified.</li>



<li><em>Maximum Tickets Per Attendee</em> &#8211; if a number is specified, the ticket buyer will need to buy tickets whose quantity does not exceed what is specified. Note &#8211; the number specified does not stop the same attendee from purchasing the ticket multiple times. For stricter limits, set a <a href="https://kb.ticketing.events/knowledge-base/setting-up-ticket-access-and-limits/">restriction</a>.</li>



<li><em>Private Ticket</em> &#8211; if set to <strong>Yes</strong>, no one outside your ticketing.events account can view it</li>



<li><em>When Available</em> &#8211; if a specific date &amp; time is chosen, the ticket will be available for that specific day &amp; time only. Other restrictions, such as the Tickets Available, will also only apply to the specified period. Note: if your event only has a single date and time, the <em>When Available</em> option should not be used.</li>



<li><em>Start Sale On</em> &#8211; if you want ticket sales to start at a future date, enter the desired date. This is an optional field. Leave it blank unless you want a specific start date.</li>



<li><em>End Sale On</em> &#8211; if you want ticket sales to end at a future date, enter the desired date. This is an optional field. Leave it blank unless you want a specific end date.</li>
</ul>



<p>If <strong>Refundable</strong> is set to <strong>Yes</strong> on the ticket setup spreadsheet, choose how much of the refund should be made.</p>

<p>You can set a limit on the number of tickets a single person can book based on a number of criteria, such as email addresses, email domains, previous reservations, etc.</p>

<h4 class="wp-block-heading">Overview</h4>



<p>In order to sell or issue tickets, see an <a href="https://ticketing.events/app/portal/attendeeTicket/1/_9mN3vbrU5SOd7rnaTv1GpWCH8jhN8Q7A1jmI1bY5YQ0IVh0gw" target="_blank" rel="noreferrer noopener">example</a>,  with <a href="https://ticketing.events">ticketing.events</a>, you first need to create the event.</p>



<p>Your event listing will be shown on three pages.</p>



<ul class="wp-block-list">
<li> The first page shows promotional images, a countdown, and basic event details. See an <a href="https://ticketing.events/app/portal/1/1/this-is-a-test-event?demo=true">example</a>. </li>



<li>The second page shows the event&#8217;s description, venue, and optional details such as sponsors, and agenda details. See an <a href="https://ticketing.events/app/portal/event/1/1/this-is-a-test-event?demo=true">example</a>.</li>



<li>The third page shows the tickets available for booking. See an <a href="https://ticketing.events/app/portal/ticket/1/1/this-is-a-test-event?demo=true">example</a>. The ticket reservation wizard can be embedded on other websites.</li>

<p>The logo and theme colors are customizable on an event&#8217;s listing pages and on the e-tickets issued. See an <a href="https://ticketing.events/app/portal/attendeeTicket/1/_9mN3vbrU5SOd7rnaTv1GpWCH8jhN8Q7A1jmI1bY5YQ0IVh0gw" target="_blank" rel="noreferrer noopener">example</a>.</p>



<h3 class="wp-block-heading">Creating An Event</h3>



<p>To create an event, go to the <a href="https://ticketing.events/app/events">Events</a> page.</p>



<p>On this page, go to the <strong>Actions</strong> &gt; <strong>Create Event</strong> button.</p>

<p>In the pop-up, enter the event&#8217;s title then click on the <strong>Create</strong> button.</p>

<h4 class="wp-block-heading">Event Dates &amp; Time</h4>



<p>On the new page, fill out the event&#8217;s basic details such as date, time, and timezone.</p>

<p>At the top of the page, go to <strong>Actions</strong>, then choose one of the edit options to continue editing other attributes of the event.</p>



<p>To view what the listing page looks like click on the <strong>View</strong> option.</p>

<h4 class="wp-block-heading">Event Description</h4>



<p>From the Event Details page, add an event description, and optionally a link to a Youtube or Vimeo video.</p>

<p>Under the <strong>Venue</strong> section, add your venue details, for a physical location, which will then be displayed as a map. </p>



<p>You can also enable <a href="https://what3words.com/" target="_blank" rel="noreferrer noopener">What3Words</a> to help customers share and find the venue using three memorable words.</p>

<p>If the event spans multiple days, you can enable the <a href="https://kb.ticketing.events/knowledge-base/lodging-integration-with-airbnb-or-hotels/">lodging integration</a> to help customers find hotels and other places to lodge.</p>



<p>If your event is virtual (held online only), indicate it as such, then enter the meeting&#8217;s URL and access instructions.</p>



<p>Note &#8211; for virtual events, the e-tickets sent do not include a QR code.</p>

<p>You can capture more data by setting up <a href="https://kb.ticketing.events/knowledge-base/custom-fields/">custom form fields</a> that should be filled out by when tickets are being booked.</p>

<h4 class="wp-block-heading">Viewing The Event Page</h4>



<p>Once you have published the event, from the <strong><a href="https://ticketing.events/app/events" target="_blank" rel="noreferrer noopener">Events</a></strong> page, go to the table and then find the event that you&#8217;re interested in.</p>



<p>Go to its <strong>Action</strong> menu, then click on the <strong>View Event</strong> option.</p>

<p>Copy the URL of the event page and share it on your promotional channels.</p>



<h4 class="wp-block-heading">Pausing an Event</h4>



<p>By pausing an event, you make your event page inaccessible thereby stopping ticket sales.</p>



<p>To pause an event, change it&#8217;s status from <strong>Live</strong> to <strong>Not Published</strong>.</p>



<p>From the <strong>Events</strong> page, on the events table, under the <strong>Status</strong> column, click on the <strong>Live</strong> button then follow the prompts to change it status.</p>

<p>To un-pause the event simply click the  <strong>Not Published</strong> button and change it to <strong>Live</strong>.</p>
